Pending Schedule
After generating a schedule, it first appears as a Pending Schedule.
The pending schedule is a private review stage.
Volunteers cannot see the schedule yet and no notifications have been sent.
This allows administrators to review and adjust assignments before publishing.
What You Can Do
Within the pending schedule you can:
- Review all assignments
- Verify each job is filled
- Make manual adjustments
- Swap volunteers
- Confirm everything is correct before going live
Swapping Volunteers
If you want to change an assignment, you can replace a volunteer with another eligible volunteer.
To swap a volunteer:
- Open the pending schedule
- Select the assignment you want to change
- Choose a different eligible volunteer
- Save the change
You can make as many adjustments as needed before publishing.
Check Notification Settings First
Before publishing the schedule, review your Notification Settings.
When the schedule is published:
- Volunteers will receive their assignments
- Reminders may be sent automatically
Make sure your notification preferences are correct before going live.
Publishing the Schedule
Once you are satisfied with the assignments, you can publish the schedule.
After publishing:
- Volunteers can see their assignments in My Schedule
- Notifications are sent (depending on your settings)
- Volunteers may confirm or request substitutes
Important Notes
- Volunteers cannot see a pending schedule
- No messages are sent until the schedule is published
- Changes made after publishing will update volunteer assignments and may send new notifications

After publishing, volunteers will begin receiving notifications based on your Notification Settings.
